Privacy Policy

This policy explains what HOUSE OF ZIGGIMAY does with personal information, why we are allowed to, and what you can ask us to do about it. It is written to be read, not to be impressive.

Who is responsible

What we collect, and why

Each item below says what we use it for and what allows us to. Those are the two questions the rules turn on.

  • When you order: your name, delivery and billing address, email address and telephone number. We use these to take payment, deliver the order and handle returns. Legal basis: performance of a contract with you.
  • Your order history and invoices: kept because tax and accounting law requires it. Legal basis: a legal obligation we are under.
  • If you create an account: your email address, a password we never see in readable form, and your saved addresses. Legal basis: performance of a contract, and your consent to keep the account open.
  • If you leave a review: the name you give and what you write, which are shown publicly on the site. Legal basis: your consent, given by submitting it.
  • If you sign up for email: your email address, and which messages you have been sent and opened. We also use your order history to sort the list into groups, as described under Automated decisions. Legal basis: your consent for the emails, which you can withdraw at any time using the unsubscribe link in any message, and our legitimate interest for the grouping.
  • If you start an order and do not finish it: the email address you entered and what was in the basket, so we can send one reminder. Legal basis: your consent where you gave it, otherwise our legitimate interest in recovering an order you began. Tell us at info@houseofziggimay.com and we will stop.
  • When you browse: anonymous statistics about which pages are read, and only if you allow Statistics in the cookie notice. Legal basis: your consent.
  • Technical records: your browser sends an IP address with every request, and our server keeps that briefly in its logs to stop attacks and abuse. Legal basis: our legitimate interest in keeping the site secure.

We do not ask for special category data, such as health or beliefs, and you should not send it to us.

Who else sees it

  • Stripe takes the payment and receives what is needed to complete it. We never see or store full card numbers.
  • GLS, PostNord, DAO deliver parcels and receive the name, address and contact details needed to do so.
  • N2IT ApS hosts the site and holds the database on our behalf.
  • Google Analytics counts visits, and only if you allow Statistics.
  • Our accountant and, where we are required to, the tax authority.

Each of these acts on our instructions under a contract, except where they are responsible in their own right, which is the case for payment providers. We do not sell personal information, and we do not share it for anyone else's advertising.

Sending data outside Europe

Some of the services above are based in the United States, so some information reaches servers outside the European Economic Area. Where that happens we rely on the European Commission's adequacy decision for the EU to US Data Privacy Framework where the company is certified under it, and on the Commission's standard contractual clauses otherwise. You can ask us at info@houseofziggimay.com which applies to a particular service.

How long we keep it

  • Order records: 5 years, because accounting rules require it.
  • Email subscriptions: until you unsubscribe, and we remove the address afterwards.
  • Unfinished baskets: a short period, long enough to send one reminder, then deleted.
  • Messages you send us: while they are useful for answering you.
  • Your cookie answer: one year, after which you are asked again.
  • Server security logs: a short rolling window.

What you can ask for

  • A copy of the personal information we hold about you.
  • A correction if something is wrong.
  • Deletion of information we no longer have a reason to keep.
  • A portable copy in a common machine readable format, or sent straight to another provider.
  • Restriction, meaning we hold the information but stop using it, while a dispute is sorted out.
  • To object to anything we do on the basis of legitimate interests, including marketing, which we stop on request without needing a reason.
  • To withdraw consent at any time where consent is what allows us to act. Withdrawing it does not undo what was lawful beforehand.

Write to info@houseofziggimay.com and we will answer within one month. There is no charge. Some records, orders in particular, we are required by law to keep even if you ask us to delete them, and we will say so plainly if that applies to you.

If you think we have handled your information badly, you can complain to Datatilsynet (datatilsynet.dk). We would rather you told us first, at info@houseofziggimay.com, so we can put it right.

Do you have to give us this

Only if you want to order something. A name and delivery address are needed to send a parcel, and an email address to confirm the order, so without them we cannot take the order. Everything else on this page is optional, and saying no to it changes nothing about your order.

Automated decisions, and grouping

If you are on our email list, software sorts that list into groups, so that we send fewer messages and better ones. It uses whether you have ordered yet and whether the order was samples, a Discovery Box or a bottle, which fragrances were in it, how long ago that was, and whether you opened the last few emails we sent. Nothing else feeds it. Someone who has bought a Discovery Box gets a different email from someone who has bought a 50 ml bottle. Under the rules that counts as profiling, in its mildest form, and we would rather say so than claim we do nothing of the kind. Legal basis: your consent for the emails themselves, which you can withdraw at any time using the unsubscribe link in any message. For the grouping, our legitimate interest in not sending everybody the same message.

We do not score you or rank you. We do not guess at your income, your health or your character. Prices in this shop are the same for everyone. No decision with a legal effect, or anything close to one, is made here by machine: whether an order stands, what you pay, what you are refunded and how a complaint ends are settled by a person. We do not sell personal information and we do not share it for anyone else’s advertising.

The one automated decision that can go against you is not ours to make. Stripe runs fraud checks on a card payment and can decline it, which is part of taking a payment safely. Stripe is responsible for those checks in its own right and its own privacy policy covers them. If your payment is declined and you think that is wrong, write to info@houseofziggimay.com and a person will look at it with you.

You can object to the grouping on its own. Write to info@houseofziggimay.com, tell us to stop, and we will, while leaving you on the list if you still want the emails. Tell us you want no marketing at all and we stop that too, with no reason needed. The unsubscribe link in any message ends both at once.

Cookies

Every cookie this site sets is listed, with its purpose and how long it lasts, in our cookie policy. Nothing optional is set before you agree to it.

Changes to this policy

If what we do with personal information changes, we update this page and change the date below. Where the change is material we ask you again through the cookie notice rather than relying on you to re-read this.

The letter

We write when a fragrance leaves the lab, and that is not often. The first letter brings ten per cent off your first order.

The code runs for thirty days, works once, on one order, and does not stack with another offer or apply to anything already reduced.
